MINUTES from JAN’12 MEETING  (Thursday 19th)

WEB-SITE:

Executive agreed to use “Site Dudes” for a new format to the club web site ww.stlac.ca

One of the intents is to have a group of Club Forums on the site for membership discussions and competition information. Can also incorporate sponsors ads and offers.

Costs would be $100 start-up and $50 per month thereafter.  At present we have  paid KOS $40 for domain, $60 for posting and $240 for web space for this year. Can we get a refund from KOS when we switch?

Each member of the Executive will make up a wish list for items on the new web site and send to Alan by Monday (23rd)

FINANCIALS:

BOH is $2932.56.  We have paid ½ deposits on two track days hence the significant drop in our bank account balance by over $5000. Expenses expected soon will involve Executive Insurance ($ 350), CASC-OR Levy (was $340, now may be $500 if CASC-OR changes are implemented), Club Competition Insurance and Track Day Insurances. Hence, reason to get membership fees ASAP.

Executive agreed to increase club slalom fees. Sergio had calculated that when he looks at the over-all costs of our events and includes our inventory and other expenses (pylons, timer, awards, comp. Insurance, etc), each event at SMP last year had to exceed revenues of $146 and PAF $451 to begin a profit! Therefore we should be charging a slight bit more to the members who compete to help compensate. Also imperative to maintain the differential between club members and non club members for the coming year slalom events. Charges therefore will be:

$30 for each event for St. LAC members as well as other CASC-OR, ASN affiliated & SCCA members.
--SMP has increased their charge to us for our summer evening slaloms at $25 per entrant vs previous years of $20 and as we usually set our fee at $5 above that, our entrant fee for this year increases to $30 from $25 for both SMP and PAF slaloms.

$40 for non-members
--decided to make a greater differential than in previous years (was $5) to make joining the club more financially attractive if the competitor intends to compete frequently.

Need also to slightly adjust membership fees. St. LAC is one (on maybe the) cheapest among all CASC-OR clubs. However, we have to ensure that we are not running our financials too close to our costs in case of any unforeseen financial losses. Therefore decided to set membership joining charges for 2012 at:

$35 for members

$40 for competition members (ie those actively competing for points in the club slalom series)

$5 for family members (can also compete for points in the slalom series)

$100 for Corporate members (with two eligible memberships-regular or comp)

$15 for students

“Members” can still run in our slalom series at the member price but will not be eligible for points which will be suitable for racers who want to test their cars as well as some members who just come out to some events for fun.

A competition members points will not start until he /she has paid or is intending to within the first two events entered.

Need to set-up a Pay-Pal account for the club to enable payments for pre-registration for club slaloms, memberships and Track Days. Sergio will check with our Bank if we can have some system through them.

Also, our intent to buy wireless sensors for our timing system will have to wait until sufficient extra income has been generated as the upgrade could cost as much as
$ 3500.

COMPETITION:

Sergio has found a pricing for large sizes of the magnetic white material which we can use to make up competition numbers (and bar coding) and sell to competitors. Also we can make up REGISTRATION and WAIVER SIGNING signs to make it easier for competitors to know where to go to do those functions. Executive agreed for Sergio to go ahead with the purchase of the magnetic roll as well as vinyl numbers (6” high) and lettering.  A 2’ x 50’ roll @ 30 mils is $200.

Track Days: The Executive agreed that Rob Switzer Jr volunteering to run both of the Track Days (Mon 28th May and Fri 27th July) is a great help to the club and his suggestion of a discount to enter both should encourage more entrants. For the first event, suggested that cut-off for the discount be mid-April and the end of April be the cut-off for a secure entry./p>

Andrew Ross (Solo II Regional Director) has asked if we are interested in using a SPDA sponsorship arrangement for up to $1000 (payable for venue cost) for our Regional Slalom event but having to do considerable advertising and giving Regional Competitors a 50% discount. The Executive decided to table this until we get more information as to the actual definition of what the sponsorship amount allows to claim. The initial impression, however is that the sponsorship is not sufficient for our interest if the advertising, discount expenses and extra time (by St. LAC members) exceed that amount and especially if SPDA has any influence over our efforts.

Also, it appears that the number of clubs who want to host a Regional is down and Andrew is wondering if we could include our Saturday Pro-Solo as a Regional along with our Regional Solo II (14th Annual Judy Brunner Memorial Slalom) on Sunday (27th May). So far, the Executive feels a Pro-Solo is not suitable for a Regional and should be regarded only as a fun event where absolute uniformity from one course to the mirror course is not critical. Whether we decide to change the Saturday to another Regional Solo II has not yet been decided. A better choice for us would be to convert one of our Fall club events at Picton into a Regional
